Project Management
This position will use spreadsheets and other standard office applications to record and process sales/operational/financial documentation related to vendors, clients, service providers, and internal customer accounts. Will receive signed proposals from sales representatives, and work to process all necessary orders and coordinate with services (both internal and service partners) for installation, while maintaining effective client and sales contact and communication throughout the project. Will ensure each project is managed through to completion and all hand-offs are effectively and efficiently managed. Will collaborate with warehouse and finance to maintain inventory levels. Will consistently follow-up with clients to ensure complete and total satisfaction with the solutions process. May consult with the finance team to ensure customer billing is accurate and assist with the monitoring of project P&L. Will help establish methods and processes to ensure customer satisfaction and business efficiency. Be an consummate team player, courteous, and attentive. Duties & Responsibilities
Provide accounting, clerical, and project management support to the Project Management teamType accurately, prepare and maintain documents and recordsProcess (sales) orders for materials and servicesObtain/maintain an understanding of the common technologies deployed for ISS-KY customersReview and collaborate on Solutions Design documentsCoordinate (entry-to-advanced-level engagement) delivery/installation services with internal and external service partners, including:Coordinate delivery schedules with both logistics providers, internal services team, and service providersCoordinate the delivery of parts and supplies to the site in advance of technician arrivalLift approvalMonitor delivery schedulesBeing available for direct (phone) conversations with on-site techniciansConfirm shots (video angles, etc…)TroubleshootingWork verification (to ensure job completeness)Return trip approvalEnter key data daily/weekly/monthly of financial/sales information in database or other software tools (e.g., upload work-orders into system(s))Quality check completed work-ordersCoordinate with 3rd party PM’s (e.g., service providers, general construction, etc…)Develop or coordinate the development of any delivery tools (e.g., fobs, drives)Coordinate the return of equipment, as needed/appropriateCoordinate delivery of additional parts or equipment, as needed/appropriateEffectively communicate with customers to ensure highest level of satisfactionProvide general assistance and support on proposals, contracts, and other related processesCollaborate with finance on billing-related questions/issuesNotify management and recommend corrective action for any perceived inventory issuesInform management and compile reports/summaries on activity areasFunction in accordance with established standards, procedures and applicable lawsConstantly update job knowledgeMaintain inter-office mail/emailHelp with general company activities, as needed or when available
