I am building Cold 2 Warm, a B2B prospecting and marketing service that helps small and midsize companies move from obscure, inconsistent outreach to a structured system for attracting and warming ideal prospects.
I currently manage three client relationships and am adding new System Build engagements. I am looking for a high-caliber fractional account manager who can become the operating owner of client delivery while I remain focused on selling, strategic positioning, and final quality control.
This is not a virtual-assistant role and it is not a quota-carrying sales role. The right person has managed client-facing marketing or agency work, can coordinate multiple specialists, protects scope and deadlines, and communicates bad news early rather than allowing surprises.
What you will own
You will own the project plan, timeline, task owners, dependencies, meeting cadence, agendas, notes, weekly client updates, risk log, approvals, internal coordination, contractor follow-up, scorecards, scope-change documentation, and escalation.
You will coordinate work across list research, list verification, copywriting, design, CRM and campaign setup, direct mail, email, LinkedIn, reporting, and other client-specific marketing tactics. You are not expected to personally perform every specialist task.
What I will continue to own
I will own sales, commercial decisions, kickoff strategy, positioning judgment, offer-level changes, and final strategic quality control. Your job is to prevent routine delivery from waiting on me while making sure the right decisions reach me early and with clear options.
What success looks like after 30 days
Founder capacity: at least eight hours per week returned to selling and marketing.
Project control: every active client has one current plan with milestones, owners, dates, dependencies, risks, and next decisions.
Client cadence: agendas before meetings, notes within 24 hours, and weekly status updates sent consistently.
Deadline performance: at least 95% of committed deliverables on time, with no surprise missed deadlines.
Contractor coordination: clear briefs, dates, acceptance criteria, and prompt feedback for specialists.
Scope control: no unapproved out-of-scope production.
Process creation: reusable kickoff, meeting, status, risk, approval, and handoff templates in active use.
Required experience and operating style
You should have at least five years of relevant experience in agency account management, client services, marketing project management, integrated marketing, marketing operations, or a closely related client-delivery role. Experience coordinating copy, design, research, CRM, email, direct mail, LinkedIn, and multi-channel campaigns is strongly preferred.
You must be able to give concrete examples of recovering a disorganized engagement, communicating a delay to a client, managing contractor performance, controlling scope, and reducing founder or executive bottlenecks.
You must live and work in Eastern or Central Time. Indianapolis-area candidates receive first preference, followed by Midwestern candidates. Exceptional remote candidates elsewhere in Eastern or Central Time are welcome. Candidates outside those time zones will not be considered.
Engagement and compensation
The role begins with a 30-day paid trial at approximately 8-10 hours per week. The expected rate is $60-$70 per hour, with an initial monthly cap near $2,600 unless additional time is approved in advance. Strong performance can expand the monthly opportunity as the client base grows.
The work is primarily remote. Indianapolis-area candidates should be open to occasional in-person working sessions when useful.
Selection process
Finalists will complete a structured interview, a paid hypothetical work sample capped at two hours, and two reference checks. The work sample tests project planning, client communication, scope control, prioritization, and escalation judgment. It will not be used as unpaid client work.
